We are looking for a virtual assistant that can effectively handle inbound calls to answer inquiries and book appointments. You will be receiving phone calls from prospective customers for home services businesses such as cleaning companies, electricians, plumbers, landscapers, etc. About the Role: You must be able to represent the client as if you are working in the client’s office and are a part of their company. You will answer the phone pleasantly and with a smile and recite our client’s standard greeting. We will train you how to answer customers’ questions and how to book appointments on our client’s CRM/scheduling platforms. While speaking with the customer you will take detailed call summary notes, which includes the customer’s contact information, reason for inquiry and any other relevant information. This information will be recorded while speaking with the customer. After the phone call ends, you will send your call summary notes to our client. You must have great attention to detail and make sure there are no typos or missing information.

Key Responsibilities

Call Handling & Appointment Setting Answer inbound calls from prospective customers with a professional and pleasant attitude. Use our client’s standard greetings and act as a seamless extension of their local team. Answer customer questions accurately based on provided training. Book appointments directly into the client’s CRM or scheduling platforms. Documentation & Follow-up Take real-time, detailed call summary notes including contact info and reason for inquiry. Ensure all summary notes are sent to the client immediately after the call ends. Send follow-up text messages or emails to clients as needed. Maintain a high level of accuracy with zero typos or missing information. Communication & Coordination Communicate directly with clients to confirm directions or receive feedback. Proactively make adjustments to your workflow based on client needs. Qualifications & Skills Working Qualifications The ideal candidate has BPO experience and is able to multitask effectively. Strong ability to manage calls while simultaneously taking detailed notes. Confident communicator, both with customers and directly with US-based clients. Highly motivated, hardworking, and eager to add value to the company. Experience working from home is preferred but not required (we will train the right candidate). Technology Requirements Internet speed of at least 40mbps with low latency. Computer: At least 6 core 12 threads, 8gb RAM. Backup power source is mandatory. Working Hours and Compensation Work Schedule & Shift Assignment Our business operates 7 days a week. Available shifts include (all times in PST): 5:00 AM – 2:00 PM 7:00 AM – 4:00 PM 8:00 AM – 5:00 PM 11:00 AM – 8:00 PM Rest Days: Days off vary depending on client need (Common: Mon–Sun, Tue–Wed, Thu–Fri). Sat–Sun off is a possibility depending on the specific client requirement. Important Note: We onboard new team members proactively. Final shift assignments are determined after the 2-week training period based on call volume and coverage requirements.
