Job Overview We are seeking an energetic and highly organized Virtual Receptionist to be the welcoming voice of our organization. In this fully remote role, you will manage virtual front desk operations, handle multi-line phone systems, and provide exceptional customer service to callers, clients, and team members. Your proactive approach and excellent organizational skills will ensure smooth daily operations and a positive first impression for everyone who reaches out to our company. This paid position offers an exciting opportunity to develop your administrative expertise in a dynamic remote environment. Responsibilities:

  • Greet callers and virtual visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems with courteous phone etiquette, directing calls efficiently to the appropriate departments or personnel
  • Handle front desk duties remotely including scheduling appointments, maintaining calendars, and managing virtual check-in procedures
  • Perform data entry, filing, and document proofreading to support office operations with accuracy and attention to detail
  • Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for various administrative tasks
  • Assist with clerical duties such as managing digital documents, faxing, and organizing electronic files
  • Provide customer support by addressing inquiries professionally and ensuring a seamless experience for clients and callers
  • Support bookkeeping activities by managing basic record keeping and financial documentation when needed
  • Maintain organized digital systems and records that reflect a professional environment at all times

Qualifications:

  • Proven experience in office management, clerical work, or as a receptionist is preferred
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and familiarity with QuickBooks is highly desirable
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced remote environment
  • Bilingual abilities are a plus to serve diverse client needs effectively
  • Exceptional customer service skills combined with professional phone etiquette and strong communication abilities
  • Prior experience with multi-line phone systems, data entry, filing, proofreading, and calendar management is preferred
  • Demonstrated ability to handle confidential information discreetly while maintaining accuracy in record keeping
  • Personal assistant or medical/dental receptionist experience is advantageous but not required; relevant office experience is essential
  • Reliable high-speed internet connection and a quiet home workspace required
