Our mission is to transform the often slow, bureaucratic process of record retrieval into a streamlined, efficient, and professional operation. Role Overview This is not a standard call center position. As a Medical Record Collection Specialist, you are a proactive case manager responsible for retrieving clinical documentation from healthcare providers across the United States. You will act as a persistent "detective," ensuring that every record is not only received on time but is also medically complete based on specific case requirements. You must be comfortable with high-volume outbound calling and possess the professional "backbone" to navigate hospital administrative hurdles.

Key Responsibilities

• High-Volume Outreach: Execute a minimum of 30+ outbound calls per day to U.S.-based medical providers to initiate and follow up on record requests.
• Clinical Accuracy: Review received documents (e.g., office notes, postpartum visits, transfer notes) to identify missing pages or specific data points requested by the review team.
• Tenacious Follow-up: Maintain a rigorous schedule to ensure providers meet deadlines, handling live objections and bureaucratic delays with professional persistence.
• Detailed Documentation: Accurately log every provider interaction and status update within the company portal, avoiding "double work" and ensuring real-time case transparency.
• HIPAA Compliance: Maintain 100% compliance with clinical documentation requirements and privacy standards to protect Patient Health Information (PHI).

Required Qualifications

• English Proficiency: Advanced (C1/C2) level is mandatory. You must be able to handle complex, live phone conversations and nuance with U.S. medical staff.
• Professional Tenacity: Ability to be "firm but polite" (having a "backbone") when dealing with unresponsive or difficult provider offices.
• Remote Work Ethic: Proven ability to maintain high productivity and strict login adherence in a 100% remote environment.
• Technical Proficiency: Skilled in navigating multiple platforms simultaneously, including EHR/EMR systems and internal company portals.

Preferred Skills & Experience

• Medical Background: Experience as a Virtual Medical Assistant, Intake Coordinator, or Live Medical Scribe is highly preferred.
• Specialized Knowledge: Familiarity with OB/GYN, IVF, Labor & Delivery, or Pain Management terminology.
• System Experience: Prior use of EMR/EHR systems such as CINCH, Areths, or similar medical databases.
• Credentialing: Previous HIPAA training or certification.
