Communications Assistant

The Communications Assistant is an essential operational role responsible for ensuring the efficient, accurate, and consistent execution of daily communication activities across Brazil and India, with a specific focus on local Brand, Events, and Social Media tasks in Brazil. This role directly supports the Corporate Communication Manager by managing high-volume, routine demands, thereby mitigating operational risks and freeing up strategic time for high-level planning and compliance. The ideal candidate is a detail-oriented, fluent Portuguese speaker with proven organizational skills. Key Responsibilities and Main Activities The primary function of the Communications Assistant is to provide execution and logistical support across the three core areas managed by the team. 1. Internal communications execution (Brazil and India) Channel management: Manage and update internal communication channels, including SharePoint sites and internal communities. Content sourcing: Actively collect testimonials, photos, and WEXer content required for global regional and global campaigns on wexchange. Town hall logistics: Support the end-to-end execution of virtual and hybrid town halls, including managing the agenda flow, basic audiovisual logistics, and running the live Q&A session. Content production: Draft and execute low-complexity communications, such as standard organizational announcements and routine office updates. Calendar oversight: Assist in managing the shared internal communication calendar, ensuring accurate scheduling and preventing audience overload. 2. Brand and events coordination (Brazil focus) Event logistics: Execute low-complexity, high-volume internal marketing actions and events, such as coordinating office engagement activities and local university events. WEX experience support: Coordinate logistical details and support the physical execution of events related to the WEX Brazil and India Experience programs. Vendor support: Assist the Manager with vendor management logistics, including coordinating vendor details and tracking payments in partnership with the Procurement team. Internal campaigns: Coordinate the scheduling and execution of internal celebratory dates and employee engagement campaigns. 3. Social media operations (Brazil focus) Content sourcing: Actively collect testimonials, photos, and WEXer content required for social media posting. Approval workflow: Support weekly social media operational demands, including coordinating content assets, proofreading/approving subtitles, and ensuring materials are ready for the external agency. Calendar supervision: Supervise the daily flow and scheduling of the social content calendar in coordination with the external agency. Performance tracking: Organize and track basic social media key performance indicators for routine reporting.

Requirements

Previous experience in an administrative, communications, events or marketing support role (Apprenticeship experience is highly valued). Fluency in Portuguese (written and verbal) is required to manage local vendors, events, and communications in Brazil. Intermediate level of English (written and verbal) is required to support potential global requests Strong organizational skills and high attention to detail. Proficiency in Google Workspace equivalents and canvas.
